1.0 General Information
 
1.1 Introduction
The Executive and Football Committee’s of Umina United Soccer Club would like to extend a warm welcome to Coaches and Managers who have volunteered their time for the 2009 Football session. We hope you all have an enjoyable time and achieve the level of success your efforts deserve. This Coaches and Managers guide incorporates our Club Rules and has been prepared to assist Coaches and Managers in the running of your teams. The information contained in the guide has been compiled over a number of years and addresses many of the issues you are likely to face as Coach or Manager for the upcoming season. We urge you to read it carefully as many of your queries may be answered in this document.
 
Our Club cannot function properly without parental support and involvement. The Management Committee desperately needs volunteers to assist on the various sub-committees. If you or some of your team’s parents can help, please let us know.
 
Remember that while we all enjoy winning, it should not be the main reason we play this
great game. Improving skills, having fun, building character and making friends are all much more important, even though some players (and their parents) don’t come to that realisation until much later in life!

1.3 Club Meetings
It is requested that EACH TEAM have a representative attend Umina Soccer Clubs monthly meetings which are usually held on the third Wednesday of every month at 7.30pm at the Everglades Country Club. You do not have to send the same person each time and a casual team rostering system is recommended. This is an important event in our calendar and a lot of information on different subjects is covered. Also this is the best way to stay in touch with the clubs objectives. Your team representative can bring this information back to your team to keep them up to date.
 
All club members are not only invited, but urged to attend these meetings regularly. This is your club, please be active with its running.

1.4 Social Soccer or Friendly Football
The Club holds a number of social events during the year which require support from all people involved in the soccer club including committee members, coaches, managers and of course the parents of the kids involved in our club. A number of events have already been planned for the upcoming season including;

The club also runs fundraising events such as chocolate drives, mother’s day raffle, etc. These are just that, fundraising. We do have sponsors for this club but without the extra effort of our fundraising and raffles to boost us along we could not run the end of year circus for the littlies presentation. These events also help pay for ONGOING UPKEEP & REPLACEMENT OF shirts, balls, nets, trophies, etc etc etc. Whilst mentioning sponsors, if you have a business and wish to sponsor any of our teams please speak with Tori Richmond-Yunn on 4326 1162 or email at This e-mail address is being protected from spam bots, you need JavaScript enabled to view it . 1.5 Communication
Communication, or should we say ‘lack of communication’, is the biggest single factor which breeds dissension between Coach and Manager, Coach and Player, Coach and Parents, etc.
 
At the beginning of the season get the players and parents together and outline your Coaching policies to them. Explain your requirements and your expectations of players and parents throughout the season. Encourage both players and parents to speak to you on any little problem that may be causing them concern. Immediately when the Coach or Manager is made aware of a problem it should be dealt with expeditiously to avoid minor problems building into a major one.
 
Keeping the players and parents informed will eliminate many problems before they start. Have the players and parents agree to your Coaching policies so that dissent does not arise if and when you are forced to adhere to your policies. Remember, once you have outlined your policies you must NOT change them without consultation with the players and parents that accepted your initial ideas.
 
If you have a problem throughout the season, talking to the right person first time will certainly go along way towards fixing any problems you may encounter quickly. The following people are the main points of contact for coaches and managers throughout the season.

Coaches and managers of each team should be the first points of contact for all queries that parents may have throughout the season. Should the Coaches and Managers be unable to answer or address the issue at hand, then the issue should be forwarded to appropriate committee members for action / response.
 
All communication between Umina United Soccer Club and other clubs, or Central Coast Football, are to be managed through the Secretary of Umina United Soccer Club. Most clubs, including CCF, will only recognise correspondence that has been delivered through formal channels.

1.7 Sponsorship
The Club Executive and Committee members are continually seeking SPONSORS and organising FUND RAISING VENTURES. Your support for these Sponsors and Fund Raising Ventures will assist us in keeping registration fees down.
 
Ideas or suggestions are ALWAYS WELCOME and should be directed to any of the Committee members.
 
 
1.8 Net Roster
To spread the workload we are also instituting a “net roster” so that more people have a chance of learning this fine art. The team that plays first on any field at Umina Oval gets the privilege of putting the nets up that day, and you guessed it, the team that plays last takes the net down. It will be noted on your teams draw whenever you are first or last, so happy hanging. The nets are put up usually about an hour before the first game, please don’t be late.
 
 
1.9 Coaching Courses
Coaching courses conducted by Central Coast Football can be arranged for coaches who DO NOT have a coaching licence. Please keep an eye on our website for details.
 
 
1.10 Canteen Roster and Barbeque Duties
As in previous years, teams will be rostered for Canteen Duties. Last year we used 20 minutes before and 20 minutes after your child’s game at each home game – and it seemed to work quite well, so we will use the old maxim – if it ain’t broke, don’t fix it!, that means we will use the same system this year. It will not be during your teams playing time – but before and after. This will be for every home game that your team has, so Managers, you must roster and advise ALL the team parents when it is their turn to assist. The Canteen and BBQ are the Club’s main source of income and every year raises enough money to pay for Trophies, Gear, Balls etc. So if the support is not given these things become unattainable.
 
 
 
 
 
2.0 Team Management.
 
2.1 Training
Training (Regular Season)
Umina United Soccer Club have access to Umina Oval on Tuesdays and Thursdays only. All junior teams are requested to vacate the fields by 7.15pm each evening for the senior teams.
 
 
2.2 Games
2.2.1 Trial Games
Trial games prior to the season will be organised by the club. Coaches and Managers are asked to visit the club website for details of upcoming games.
 
2.2.2 Draw for the Regular Season
The draw for first few games of the playing season will be made available by CCF in the week leading up to the first competition game. The full season draw is usually unavailable for several weeks into the playing season. Coaches and Managers are asked to be patient during this period. Organising fixtures, field locations, and game times, for every team playing football on the Central Coast is an enormous job and requires some time to sort out. The draw will be placed on our website when it is made available by CCF.
 
 
2.3 Game Day (regular season)
2.3.1 Match day attire
The colours of Umina United Soccer Club are Dark Brown, and Gold. All players are required to have the following equipment before they may take the field:
 
§ Gold socks with Brown tops (or Umina decal on sides) - available through the Club Gear Steward.
§ Dark Brown & Gold Nylon Shorts - available through the Club Gear Steward.
§ Soccer Boots
§ Shin-pads (Shin-pads are compulsory and must be worn by all players at both training and games)
§ Playing shirts are supplied by Umina United Soccer Club
 
 
2.3.2 Filling out the Team Sheet (Refer to attachments)
i) Team sheets are to be completed by Coach or Manager at least 15 minutes prior to scheduled kick off time.
ii) Ground Official is to check that the team sheet has been completed and that any referee fees have been collected at least 5 minutes prior to the commencement of the game
iii) Any player from a lower division subbing up is to have their registered age and division written clearly next to their name on the team sheet;
iv) Team sheets should contain full names and registration numbers of all players taking part in, or expected to take part in the game (including the names of nominated substitutes). Names are to be listed against shirt numbers players will wear in match.
The maximum numbers of players who may be listed are:
· Grades 5, 6 & 7 maximum is 7 players;
· Grade 8 and 9 maximum is 12 players;
· Grades 10 to 18 maximum is 14 for Mixed Competitions and 16 for Girls G10, G12, G14 and G16 Competitions;
· For all senior Grades maximum is 16.
v) All team sheets must be completed in blue or black biro and all details including player’s names and Registration number thereon, but excluding signatures where necessary, shall be printed legibly. Illegible team sheets and team sheets not completed in blue or black biro, for example in other colours, in pencil, in felt pen or in water absorbent ink, will result in an automatic fine for each sheet. Team sheets are to be printed with non water soluble ink.
vi) The coach or manager must sign the team sheet after the game to verify game score, substitutes and that registration cards were checked.
vii) Team sheets are not to be removed from the official table by any person including the referee;
viii) Nothing other than the above, except details to be recorded by the referee, is to be written or recorded on the team sheet
 
If you are having problems or are not sure of how to sign your team on ask the officials at the field, they will always be happy to help. If it’s your first year, it may seem complicated, but there is always someone at the officials table happy to help, please ask
 
Coaches and Managers are referred to attachments at the back of this document. The templates detail how the team sheet is to be filled out for non comp and competition teams. Central Coast Football will fine all football clubs that fail to fill in and sign off the team sheet on game day correctly. The fine this year is $50 per for the first offence, and $100 for each instance thereafter.
 
 
2.3.3 Registration Cards
Please ensure you carry your teams ID cards with you to EVERY game. You will need to them to sign onto the team sheet and to show the manager of the opposition team who has the right to view and check the photos of your players. You also have this right with the opposition team. These cards are important documents for your team and must be returned to the registrar at the end of the season. Please DO NOT loose them.
 
 
2.3.4 Payment of Referee Fees / Team Finances
Whether or not you have an official referee for your game is completely up to the Central Coast Referee’s Association who make their rosters. However generally official referees are only scheduled in non and junior competition games from Under 8’s to Under 16 and Over 35’s.
 
If you do not have a official referee it is up to the home club to supply a person capable of refereeing the game fairly and accurately, usually a mum or dad who knows the rules. If you have been allocated a referee, you will be advised when you sign your team on and are required to pay your teams contribution, which is half of the fees, before the start of the game. The opposition team pays the other half.
 
Managers for all teams are required to manage team finances. Throughout the season, the team will incur costs associated with referees and linesman, and these costs are paid for by the team. Managers should begin collecting REF/GAME fees from their players on a regular weekly basis whether or not you have official refs or not. The amount you collect is up to you but please ensure that the amount collected in one week is enough to pay for an official ref and two assistants.

2.3.5 Team Official & Ground Officials
There is a difference, a ground or table official looks after all the games at the field he is working at. He helps you sign on, sorts out problems and generally tries to make the day run smoothly. A team official is the person your team supplies to your game to help out if there is a problem. Generally this never happens but your team official is there to help your teams spectators. In short though, each team must supply one vested official during their team’s game. Their names must be included on the team sheet. Their job is to maintain a reasonable level of behaviour reflective of what is expected by the CCF.
 
 
2.3.6 Protests
Game Score
i) In the event of any dispute in respect to the score of any fixture, the score recorded by the Match Official in charge shall be the Official Score for the Fixture.
ii) If when checking the team sheet prior to signing same after the game there is a variance in relation to the game score and this cannot be resolved at the time the manager should still sign the team sheet but neatly print "protest" above his signature.
iii) The Manager should then advise his Club Secretary to enable the Secretary to notify the CCF Fixtures officer verbally within 24hours, and in writing within 72 hours, of the details of the dispute together with details of any supporting evidence.
Failure by the Manager to check the team sheet or failure by the Manager or Club to follow procedures in (ii) or (iii) above will invalidate any right to protests
 
Eligibility of Players
i) It is the responsibility of Managers to check the registration cards of opposition players.
ii) If there is a dispute regarding the eligibility of a player the manager is to neatly print the word protest above his signature on the team sheet;
iii) The Manager should then advise his Club Secretary to enable the Secretary to notify the CCF Fixtures officer verbally within 24hours, and in writing within 72 hours, of the details of the dispute together with details of any supporting evidence;
iv) Failure by the Manager to check the team sheet, check the opposition cards or failure by the Manager or Club to follow procedures in (ii) or (iii) above will invalidate any right to protest.
 
Other Protests and Complaints
i) Any complaints regarding unsporting conduct are to be advised through the Club Secretary to the CCF Director of Competitions verbally within 24 hours, and in writing within 72 hours, giving full details of such complaint.
ii) Any complaints regarding players, officials or other persons are to be advised through the Club Secretary to the Secretary of Judiciary verbally via the CCF office within 24 hours and in writing within 72 hours.
iii) Any person making a complaint under (i) or (ii) above must be prepared to attend any hearing called by the CCF to hear such complaint.
iv) Any complaints regarding a referee are to be submitted through the Club Secretary to the Secretary of Judiciary in within 72 hours giving full details of such complaint.
 
 
2.3.7 Recording the Result
 
 
This is very important, the CCF records results from games U9 to First Grade, at Umina we record ALL team results and they are placed on our website. This means all teams from Under 9’s up, need to keep the results of each game.

Teams need to do this straight after the game before 5pm. Information needs to be sent to CCF on the afternoon of each days play. Once again, there are fines sent out by the CCF for non compliance and these fines will be passed on to teams who do not send in their game results. Remember, it’s only a phone call. If Fixtures do not get this information, he will be chasing the managers and coaches. Remember this information must be sent in to the CCF and there is a time limit to achieve this. Do not forget.
 
 
 
 
 
 
2.4 Miscellaneous Team Management Issues
2.4.1 Gala Days
During the season your team may be invited (usually via email) to attend Gala Day. This is when your team plays against a number of same age teams, in a number of games on one day at one field. Umina United Soccer Club will pay the entry fee for one gala day per team per year. Please advise us early if you intent on entering a gala day so arrangements for payments can be made.
 
 
2.4.2 Movement of Players between divisions and age groups
Any team with a shortage of players may draw on players from a lower age group subject to the following conditions:
i) Such players must have the physical, mental and playing ability to play up;
ii) Such players may not play up more than two age groups above the minimum age group in which they could register, (e.g. a player whose minimum age group for registration is say Grade 11 cannot play up into Grade 14) ;
iii) Such players playing up can only play the same or one grade below that in which they are registered (e.g. a Grade 12A player can play up into Grades 13A, 13B, 14A or 14B. He/she cannot play in 13C or 14C;)
iv) No Grade 5, 6, 7 or 8 player shall play up into a Junior Divisional Age Championship team, Grade 10 or above;
v) Bona Fide Grade 9 players can play up into Grade 10 but no higher; Such player can only play down a maximum of one grade. Special circumstances may be applied for in very low grades.
vi) The 4 game rule shall apply to any player playing up into a higher age group or grade.
vii) Clarification in respect to Women’s competitions. All players must register in their correct age groups.
G10 and G11 cannot play in W14 or above
G12 and G13 cannot play in W16 or above
G14 and G15 cannot play in W18 or above
G16 cannot play in WAA
 
Where a Club which has more than one (1) team entered in the same age group, each team so entered shall be recognised as a separate team. Interchange of players between those teams shall be allowed subject to the following provisions
i) A player registered in a lower grade team may play up into a higher graded team;
viii) The 4 game rule shall apply.
ii) Where a Club has more than 1 team entered in the same age group and grade (i.e. 2 x U12A), no interchange between these teams is permitted.
iii) Such players cannot come from a higher grade
 
 
Four Game Rule
Any player playing up into a higher age group or grade shall be restricted to playing up no more than four (4) times during a season. This does not include semi finals, finals and Grand Finals. Such 4 games shall be cumulative irrespective of grade or age group in which player plays up. That is to say if a 12B player plays up into 13A one week, 13B another two and 14A another then he/she shall have accumulated his/her 4 games. Should that player play up a fifth time he/she shall be deemed an ineligible player. This rule shall not apply to a player from a lower age group or lower grade, who has already played in his/her nominated team that day
 
 
2.4.4 Injury to Players and Insurance
Notification of Injury
Coaches/Managers to be instructed to notify Club Secretary or other person nominated to look after insurance matters, IMMEDIATELY one of their players suffers any injury at all.
 
Giving Forms to Injured Player
Secretary to give Sports Injury Claim form to player (or parent if junior) and ensure that the form is returned to Club for signature by Secretary and then forwarded to Association Secretary for accompanying form, copying and on-forwarding to Insurance Company.
 
Claiming Refunds of Accounts
All accounts eligible to be claimed from Insurance Company, must be paid in the first instance and receipts forwarded with the claim form to Association Secretary, or direct to the insurance company for ongoing expenses. Accounts that are claimable on Medicare or private Health Insurance are not claimable on the Insurance Company. Only a percentage of the total cost is refundable.
 
Private Insurance
Senior players should be encouraged to take out private health insurance as the Sporting Insurance has not been put into effect to replace private health insurance, but certainly is better than no insurance at all. Players always think that injuries occur to other people, never themselves, until it happens. There is limited physiotherapy cover unless post-operative.
 
Information Insurance Manual
The Club Secretary has a manual from the Insurance Company which explains in detail what players are entitled to claim and also what parents can claim if they have a child with a serious injury. The Secretary can then ensure that an injured player is aware of the details and can answer questions players need answered, instead of ringing the Association or Insurance Company. Insurance claim forms must be submitted within 30 days of the injury occurrence.
 
Other Benefits Under Insurance
Part of the insurance paid by players automatically covers the Club for Public Liability of $5,000,000.00 and also covers Club Officials, Registered Coaches and Managers. It also includes an indemnity against Coaches being sued by Players/Parents, so it is a very worthwhile Insurance.
 
 
2.4.5 Forfeiting
If your team can not make a game for any reason, the coach or manager of the team must contact fixtures on email address This e-mail address is being protected from spam bots, you need JavaScript enabled to view it with plenty of notice of the game cancellation or if at the last moment ring on 0424 577 458. Fixtures will complete the appropriate form and send it to the CCF, and also contact the opposition club and let them know the game is a forfeit. Once again there are fines in place for not attending a game without the proper cancellation or a due excuse ($200 per instance). If you can’t make up the right numbers for the team because of school excursions and the like, let me know straight away. Under certain circumstances you can borrow players (subbing) from other Umina teams, ask one of the football committee to help you sort it out, but get it done early in the week, not on the day ……………………….…communication is the name of the game
 
 
2.4.6 Team Photos
It is compulsory for all teams to participate in Team Photos regardless of whether your team is sponsored or not.

2.5 Player & Club Awards
2.5.1 UUSC – Team Sports Awards
Video Ezy, McDonalds and Domino Sports awards are supplied by this club to each team. The awards are to be distributed evenly across the whole team and evenly across the whole season. Please DO NOT give them out all in the first week and DO NOT give them out to the best player each week, they should be used as encouragement awards. Each player must receive one of each award during the year.
 
 
2.5.2 UUSC 3-2-1 Team Points system (Under 9 -18)
All competition teams need to submit a 3-2-1 point system. This is where the three best players in a particular game are awarded 3 points, 2 points and 1 point accordingly, by the coach and manager. This is NOT to be confused with the Sports Awards (See Sports Awards)
 
At the end of every game the players with the 3-2 and 1 point gets noted by the Manager and the info is supplied to the Club at the end of the season.
 
Eg. U16A, 1 April –v- Gosford, John Smith (3), Peter Jones (2) Sue Collins (1)
 
The points get tallied up for the end of year presentations and awards are given out accordingly.
 
The coach of the highest graded U9 team also needs to keep a record or submit it to the junior Representative for the end of season presentation.
 
 
 
 
 
2.5.3 CCF – Player Point system (Grades 10 to seniors)
CCF operate a Player of the Year Award for each division from under 10 through to seniors. The player of the year for the grade is determined through a point system. At the completion of each game, in addition to signing off the result, coaches and managers are to nominate the best opposition player for the week on the team sheet when signing off the result.
 
 
 
 
 
 
 
 
 
3.0 Duties, Responsibilities, & Codes of Conduct
 
3.1 Duties & Responsibilities
 
3.1.1 Duties and Responsibilities of the Coach
 
The Team Coach shall;
· Be responsible for the players in the team he/she undertakes to coach.
· Be solely responsible for team selections after the squad is finalised by the Football Committee.
· Be expected to attend no less than three (3) official Club meetings as well as any Special General Meetings and Annual General Meetings.
· Be responsible and Accountable for all Club equipment issued to the team.
· In the absence of the Team Manager or Manageress, carry out the full and normal duties and responsibilities of that position.
· Be expected to attend Coaching Courses run or organised by the Club
 
 
3.1.2 Duties & Responsibilities of the Manager
 
The Team Manager shall;
· Abide by the decisions of the team Coach at all times in Football matters relating to the team.
· Obtain and keep a full list containing the names and addresses of all players in the team.
· Obtain the Draw for the Season and be familiar with the venues for all games, and their locations prior to the scheduled games.
· Ensure that all players in their Team are aware of both the Times and Venues, for each game.

3.2 Codes of Conduct
3.2.1 Code of Conduct for Coaches
· Be reasonable on your demands on young players time, energy and enthusiasm.
· Teach the players that the rules of soccer are mutual agreements which should not be evaded or broken.
· Avoid over-playing the talented players and devote equal time to all players.
· Take into account the maturity level of players when scheduling practice time and competition.
· Do not ridicule or yell at young players for making mistakes or losing a match.
· Develop team respect for the ability of opponents as well as for the judgement of officials and opposing coaches.
· Make a personal commitment to keep informed of sound coaching principles.
· Avoid the use of derogative or abusive language.
 
 
 
 
 
3.2.2 Code of Conduct for Officials
· Monitor rules and regulations to ensure they match the skills and the needs of players and clubs.
· Condemn unsporting behaviour and promote respect for all opponents.
· Be consistent, objective and courteous in calling all infractions.
· Keep informed of policy, rules and regulation changes.
· Ensure that internal and external communication lines operate and are maintained within the Club.
· Avoid use of derogative language.
 
 
3.2.3 Code of Conduct for Parents
· Encourage children to participate and play by the rules.
· Do not ridicule or yell at a child for making a mistake or losing a game.
· Lead by example.
· If you disagree with the decision of an Official, raise the issue through the appropriate channel.
· Support all efforts to remove verbal and physical abuse.
· Avoid use of derogative langua
 
 
3.2.4 Code of Conduct for Players
· Play by the rules of the game.
· ever argue with an Official. If you disagree with a decision of an Official, request your captain, coach, manager or Executive Member to approach the Official at a convenient time
· Control your temper. Verbal abuse of Officials or Players is not an acceptable level of conduct.
· Avoid use of derogative language of any sort.
· Work equally hard for yourself and for the team.
· Co-operate with the coach, team-players and opponents.
· Treat all players as you would like to be treated.
 
 
3.2.5 Code of Conduct for Spectators
· Respect the decision of Officials. If there is a disagreement, follow the appropriate procedure for redress and teach the players to do likewise
· Condemn the use of violence by spectators, coaches, players or officials.
· Encourage players to follow the rules and decisions of officials.
· Demonstrate appropriate social behaviour by not using foul or abusive language, harassing players, coaches or officials.
· Be positive in comments on players ability - do not ridicule or belittle players, coaches or officials.
· Applaud good performance and efforts from both teams, regardless of outcomes.
· Moderate the consumption of alcohol at senior games and do not consume alcohol at junior games.
